Documentation of the according to § 4d BDSG reportable automatic processing of personal data

The BDSG stipulates in § 4g that the data protection officer has to make the following information available to everyone in a suitable manner in accordance with § 4e BDSG:

4. Purpose of the data collection:

Operation of a company selling clamping tools, measuring tools, protection technology, machining technology and other accessories and the associated collection, processing, use and, if necessary, transmission of personal data for:

  • customer management
  • personnel administration
  • order processing
  • Payroll and financial accounting
  • quality management
  • marketing
  • Fulfillment of legal obligations
  • Fulfillment of social security obligations
  • statistics

5. Description of the groups of persons concerned and the related categories of data or data:

  • Customers: name / company name, address (s), contact person, contact details, customer group, account data, if necessary tax number, if necessary additional billing
  • Suppliers, contractors: name / company name, address (s), contact person, contact details, customer group, account data, if necessary additional billing
  • Personnel: Name, address, application documents, employment contract, contact details, account data, payroll data, pension and social insurance data, warnings, examination results, master data, denominations, medical certificates, possibly VL or BAV contracts
  • Applicants: Application documents

6. Recipients or categories of recipients to whom the data can be communicated:

Internal: responsible clerks (order processing, personnel department, quality management, marketing) 
Externally: tax consultants (payroll and financial accounting), public authorities (social security), tax office, health insurance companies, logistics companies, collection agencies, credit institutions

7. Data transmission to third countries:

Data is not transferred to states outside the European Union (EU) or the European Economic Area (EEA).

8. Periods for the deletion of the data:

The legislature has issued a variety of storage obligations and deadlines. After expiry of these deadlines, the corresponding data will be routinely deleted, as far as they are no longer required for fulfillment of the contract or in accordance with § 31 BDSG. Data which are not affected by this will be deleted if the purposes stated under point 4 are omitted.
